This Privacy Policy explains how Aformity collects, uses, discloses, and protects personal information.

This Privacy Policy explains how Aformity collects, uses, discloses, and protects personal information when you visit our websites, contact us, use our applications, or otherwise interact with Aformity.

Aformity provides customer data onboarding and migration software for SaaS onboarding, implementation, and customer success teams. In many cases, business customers determine what data is submitted to Aformity and why. Where Aformity processes personal information on behalf of a customer, Aformity acts as a service provider or processor under the applicable agreement.

Aformity operates primarily from Australia and may support customers and users in the United States and other locations. This Policy is written to explain our practices in plain language and should be read together with any applicable order form, data processing terms, or written agreement.

1. Information we collect

The information Aformity collects depends on how you interact with us and the service.

  • Account and contact information, such as name, work email, company, role, and communication preferences.
  • Customer content, such as uploaded files, source data, destination schemas, field mappings, validation rules, transformation instructions, import preparation outputs, and related metadata.
  • Usage and device information, such as log data, browser type, pages viewed, feature interactions, approximate location derived from IP address, and diagnostic information.
  • Communications, such as messages submitted through forms, emails, support requests, sales conversations, and feedback.
  • Cookies and similar technologies used for site operation, analytics, security, and performance measurement.

2. Sources of information

Aformity may collect personal information directly from you, from the organization you represent, from customer administrators or authorized users, from customer-provided files and workflows, from service providers, from public business sources, and automatically through your use of our websites and services.

If a customer uploads information about another person, the customer is responsible for ensuring that the information was collected and provided lawfully and that any required notices, permissions, or legal bases are in place.

3. How we use information

Aformity uses information for the following purposes:

  • Provide, operate, maintain, and improve Aformity products and services.
  • Prepare, validate, transform, and support customer data onboarding workflows requested by customers.
  • Respond to inquiries, provide support, manage accounts, and communicate about the service.
  • Send sales and marketing communications about Aformity products, services, trials, demos, onboarding, updates, and related resources where permitted by applicable law.
  • Monitor performance, detect abuse, investigate security issues, and protect Aformity, customers, and third parties.
  • Analyze website and product usage, measure marketing effectiveness, and develop new capabilities.
  • Comply with legal obligations, enforce agreements, and exercise or defend legal rights.

4. Marketing communications and choices

If you submit your email address through Aformity's website, signup flow, contact forms, demo requests, or similar forms, Aformity may use that email address to send sales and marketing communications where permitted by applicable law.

You can unsubscribe or opt out of marketing emails by using the unsubscribe link or instructions included in those emails, where provided, or by contacting hello@aformity.com. If you opt out of marketing communications, Aformity may still send service-related, transactional, security, legal, or account communications.

5. Customer content

Customers decide what content to submit to Aformity and are responsible for providing required notices, obtaining required permissions, and ensuring that their use of Aformity complies with applicable law.

Unless a written agreement states otherwise, customers should not submit protected health information, payment card data, government identifiers, children's data, or other regulated or highly sensitive information.

Aformity uses customer content to provide, support, secure, troubleshoot, and improve the service, and as otherwise directed by the customer or permitted by agreement or law. Aformity is not the controller or business for customer content where Aformity processes that content only on behalf of a customer.

6. How we disclose information

Aformity may disclose information in the following circumstances:

  • To service providers that support hosting, infrastructure, analytics, communications, customer support, security, and business operations.
  • To customer administrators and authorized users within the relevant customer account.
  • To comply with law, legal process, government requests, or to protect rights, safety, and security.
  • In connection with a merger, financing, acquisition, reorganization, sale of assets, or similar corporate transaction.
  • With your direction, consent, or as otherwise described at the time of collection.

7. Cookies and analytics

Aformity may use cookies, pixels, analytics tools, and similar technologies to operate the website, understand engagement, measure campaigns, improve performance, and protect the service. You can control cookies through your browser settings, but some features may not function properly if cookies are disabled.

8. Retention

Aformity retains personal information for as long as reasonably necessary to provide the service, meet business and operational needs, comply with legal obligations, resolve disputes, enforce agreements, and maintain security. Retention periods may vary depending on the type of information, customer instructions, contractual commitments, and legal requirements.

Because Aformity's detailed retention and deletion commitments are handled through product configuration and customer agreements, customers with specific retention, deletion, archival, or return requirements should raise those requirements before submitting customer content.

9. Security

Aformity uses administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, and customers should use the service only for data they are authorized to process.

10. International processing

Aformity and its service providers may process information in Australia, the United States, and other countries where Aformity or its service providers operate. Those countries may have privacy and data protection laws different from the laws in your location.

Where required, Aformity uses appropriate legal mechanisms for cross-border transfers. Customers with specific data residency or international transfer requirements should address those requirements in a written agreement before submitting customer content.

11. Australia privacy rights and complaints

If Australian privacy law applies, you may have rights to request access to or correction of personal information Aformity holds about you. You may also be able to make a privacy complaint if you believe Aformity has mishandled your personal information.

To make an access, correction, or privacy complaint request, contact hello@aformity.com. Aformity will assess the request and respond as required by applicable law. If you are not satisfied with Aformity's response, you may have the right to contact the Office of the Australian Information Commissioner.

12. United States privacy rights

Depending on your state of residence and the nature of your relationship with Aformity, you may have rights to know, access, correct, delete, receive a copy of, opt out of certain processing, or appeal a privacy decision. These rights vary by state and may be subject to exceptions.

Aformity does not sell personal information. If Aformity later changes practices in a way that requires additional notices, choices, or opt-out mechanisms, Aformity will update this Policy or provide another legally required notice.

13. Requests involving customer content

Depending on your location, you may have rights to access, correct, delete, restrict, object to, or receive a copy of personal information. You may also have the right to withdraw consent or lodge a complaint with a supervisory authority.

If your information was submitted to Aformity by one of our customers, please contact that customer first. Aformity will support customer requests as required by applicable law and contract.

14. Children

Aformity is intended for business use and is not directed to children. We do not knowingly collect personal information from children.

15. Changes to this Policy

Aformity may update this Privacy Policy from time to time. If changes are material, we will provide notice through the website, service, email, or another reasonable method.
